The Dockyard Club – Hall Hire Terms and Conditions
Welcome
Thank you for taking the time to read these Terms and Conditions. While they may appear extensive, they are based on our experience and are intended to help ensure your event runs smoothly and that everyone enjoys their time at The Dockyard Club.
By confirming your booking, you agree to comply with these Terms and Conditions.
1. Hall Hire
The function hall (The Anchor Room) is available for birthday parties, anniversaries, weddings and other private celebrations.
Standard Hire Charges
• Friday evening: £180 (includes bar staff from 7.30pm–midnight)
• Saturday evening: £250 (includes bar staff from 7.30pm–midnight)
• Saturday Wedding Hire: £400, including all-day room hire, bar access from 2.00pm and exclusive bar service from 7.30pm until midnight.
• Events can start earlier for an additional cost but need to end at midnight due to our licensing.
Bespoke rates are available for weekday and afternoon functions.
Dockyard Club members may be eligible for a discounted hire rate.
The Anchor Room accommodates approximately 100–120 guests and includes:
• Raised stage suitable for a live band or DJ
• Dedicated buffet area adjacent to the stage
• Use of your own sound system, subject to licensing requirements and agreed finishing times
2. Viewing the Venue
Prospective hirers are welcome to arrange a viewing of the Anchor Room before confirming a booking.
We recommend arranging a viewing within 7–10 days of your enquiry.
Viewing Times
• Monday to Friday: From 5.00pm
• Weekends: From 2.00pm
Viewings are by appointment and subject to existing bookings.

3. Booking, Membership and Payment
Function enquiries will only be held for a limited period. If we do not hear from you within a reasonable timeframe, we may release the requested date.
A £50 non-refundable deposit is required to secure your booking. This forms part of the total hire fee.
The remaining balance must be paid no later than six weeks before the event.
A discount may be available where full payment is made at the time of booking.
Payment should be made by BACS using the event date and your full name as the payment reference. Bank details will be supplied after booking.
As The Dockyard Club operates as a private members' club, the person hiring the room must complete a membership application at least 48 hours before the event.
This provides complimentary Associate Membership for one year and is required to comply with our Club Premises Certificate.
4. Contact Details
The hirer must provide up-to-date contact details including:
• Telephone number
• Alternative contact number
• Email address (where possible)
Failure to maintain contact may result in cancellation of the booking.
5. Age Restrictions
Bookings are not accepted for:
• 14th–18th birthday parties
21st birthday parties may be accepted at the Club's discretion and are subject to a refundable £100 damage bond.
6. Cancellation Policy
If a booking is cancelled more than one calendar month before the event, 75% of monies paid (excluding the non-refundable deposit) will be refunded.
No refunds are available for cancellations made within one month of the event.
7. Catering
You are welcome to provide your own cold buffet or arrange external caterers.
Please note:
• No cooking facilities are available.
• Use of the Club kitchen is not permitted.
• Allergen information remains the responsibility of the hirer or caterer.
• All food must be removed at the end of the event.
• The room must be left clean and tidy.
Only food and beverages supplied or authorised by The Dockyard Club may be consumed on the premises.
No alcohol or drinks may be brought into the Club.
8. Entertainment
Bands, DJs and entertainers are welcome.
Please note:
• Entertainment must finish by midnight.
• Equipment must be removed after the event.
• Smoke machines are not permitted.
• DJs, bands and entertainers must hold Public Liability Insurance and produce evidence upon request.
9. Function Bar and Licensing
Unless otherwise agreed:
• Bar available from 7.30pm
• Last orders: 11.45pm
• Bar closes: 11.55pm
• Music finishes: Midnight
• Guests must vacate by 12.15am
No drinks may be taken outside after 10.00pm.
Glasses and bottles must never leave the premises.
Alcoholic gifts received during the function must not be consumed on the premises.
10. Children
Children are welcome at private functions but must remain under the supervision of a responsible adult at all times.
Children must not be allowed to wander unsupervised around the Club or outside areas.
11. Decorations
Where possible, access for decorating will be available:
• Monday to Friday: From 5.00pm
• Weekends: From 2.00pm
Earlier access may be available by prior arrangement and may incur an additional staffing charge.

• Sellotape
• Blu Tack
• White Tack
• Adhesive strips
• Confetti
• Glitter
• Party poppers
• Silly string
• Real candles
• Chocolate fountains
• Popcorn machines
• Candy floss machines
• Slush machines
• Piñatas
All decorations and personal belongings must be removed after the event.
If you would prefer Club staff to clear the room, this can be arranged for an additional £35.
12. Smoking
A designated smoking area is available.
After 10.00pm:
• No drinks may be taken outside.
• Guests are asked to keep noise to a minimum and respect our residential neighbours.
13. Alcohol, Drugs and Behaviour
The Dockyard Club operates a strict zero-tolerance policy towards:
• Illegal drugs
• Violent, abusive or threatening behaviour
• Harassment towards staff, committee members or guests
Anyone who appears intoxicated or under the influence of drugs or alcohol may be refused entry or asked to leave.
Bag searches may be conducted where appropriate. Refusal may result in refusal of entry.
The police may be contacted where necessary.
14. Underage Drinking
The Dockyard Club operates a strict Challenge 25 policy.
Anyone appearing under 25 may be asked to produce valid photographic identification.
Accepted identification includes:
• Passport
• Photocard Driving Licence
Proxy purchasing of alcohol is prohibited.
15. Damage and Liability
The hirer is responsible for:
• The conduct of all guests.
• Any loss or damage caused during the event.
The Club reserves the right to recover the cost of repairs or replacement of damaged property.
Personal belongings remain entirely at the owner's risk.
The Dockyard Club accepts no responsibility for loss, theft or damage except where liability cannot legally be excluded.
16. CCTV
CCTV operates throughout the premises for the safety and security of members, guests and staff.
17. Car Parking
Limited parking is available in the Club forecourt for disabled visitors and loading/unloading only.
Additional on-street parking is available nearby.
18. Disabled Access
A portable access ramp is available at the main entrance.
Alternative accessible access is available via the side entrance on Onslow Road.
19. General Conditions
The person hiring the room is responsible for ensuring that all guests comply with these Terms and Conditions.
Failure to comply may result in:
• Refusal of admission.
• Immediate termination of the event without refund.
• Recovery of costs for any damage caused.
The Dockyard Club reserves the right to amend these Terms and Conditions at any time.
